GALLERY MANAGEMENT - THE VOW EXCHANGE


Each couple who purchases photography services with The Vow Exchange is taken through a very thorough and comprehensive gallery management process. This ensures that we at The Vow Exchange never drop a ball or miss a detail in ensuring a quality product as well as taking care of legal administrative aspects of the gallery. Below is a summary of the gallery management process The Vow Exchange follows to ensure a successful delivery and thrilled couple:

  1. Gallery Management Intro Email: This email introduces The Vow Exchange Photo Manager as well as provides the couple with a reminder of what is included in their package, delivery time line, and a link to contact us for further questions regarding their gallery. The goal here is to clarify who they are to be dealing with regarding their gallery which is the Photo Manager and not the photographer, or any other member of the VX team (see "CORRESPONDING WITH COUPLES" below).
  2. Preview Gallery Email: This email delivers the preview gallery as well as the image and model release for the couple to complete. We do not require the couple to share their images with the public. The provided releases reminds them of their rights to the images in their gallery as well as letting us know their sharing and privacy preferences.
  3. Gallery Quality Review: Once the photographer has uploaded the completed gallery (no later than 28 days post event), our photo manager reviews it for quality. We have found this step extremely helpful in flagging any shots that might not have made the final completed gallery. On occasion our busy photographers may have accidentally omitted key shots of the flower girl, or found that there is only one shot of the bride and her father. Identifying missing shots or anything else that seems "off" now and before sending the gallery to the customer can save lots of questions and frustration on the back end. 
  4. Promo Code Delivery Email: Once the gallery has been quality checked, it is ready to send along with a promo code allowing our couples to select & download the images contained in their package. Along with their promo code, we return to them a copy of their signed model release and copy you the photographer for your records.

It's inevitable. You and the couple have such a great time together at their wedding that they want to keep in touch to hire you for future jobs. Which is super awesome! However, it can also be super problematic if you are not careful. Often times, couples who request the contact info from the photographer will often abuse it by going straight to the "horse's mouth" when it comes to their wedding gallery. Below are a couple of strategies we suggest to avoid getting caught in the middle and ultimately causing our couples frustration:

"The couple emailed me about their wedding gallery. What do I say to them?" - Anytime you are contacted directly regarding the couple's wedding gallery whether by the couple or a guest of their wedding, we recommend the following:
- return their email as it would be rude to ignore them or "pass it on" with out a direct response back to the customer.
- Inform them in the friendliest way that "The Vow Exchange Photo Manager is the best person to connect with regarding your wedding gallery. She can be reached at booking@thevowexchange.com to answer any of your wedding gallery questions." Even if you think you know the answer to their question, it is best to allow the photo manager to answer as policies and procedures change over time.
- CC the email: booking@thevowexchange.com whenever you correspond with a customer regarding their wedding gallery.

"The couple emailed me about their wedding gallery as well as a future photo shoot with me. What do I say to them?" - This is great news! Sounds like you got some additional work from this customer. However, we must be careful to separate out the new job from their wedding gallery. For these inquiries, we recommend the following:
- return their email answering their questions regarding the new job with you.
- Additionally inform them in the friendliest way that "The Vow Exchange Photo Manager is the best person to connect with regarding your wedding gallery. She can be reached at booking@thevowexchange.com to answer any of your wedding gallery questions." Even if you think you know the answer to their question, it is best to allow the photo manager to answer as policies and procedures change over time.
- CC the email: booking@thevowexchange.com whenever you correspond with a customer regarding their wedding gallery.

"The couple emailed me about a future photo shoot with me but did not ask about their wedding gallery. What do I say to them?" - Again, this is great news! Sounds like you got some additional work from this customer. Since in this case the customer is not asking about their wedding gallery, feel free to connect with them regarding that future work you will be doing for them. Keep in mind however, that should the topic of their wedding gallery come up down the road, the answer is always "The Vow Exchange Photo Manager is the best person to connect with regarding your wedding gallery. She can be reached at booking@thevowexchange.com to answer any of your wedding gallery questions."
