MODULE C4:
Confirm CONTRACT SIGNature

To ensure a smooth event set up, it is very important we have confirmation with the client on what is included in their event. Review below to confirm and ensure we have the client's event contract signed.


NOTE: MODULE C3: send contract MUST BE COMPLETEd BEFORE COMPLETING THE FOLLOWING STEPS.


Check for email return receipt

DEADLINE: 4 WEEKS PRE-EVENT

step 1:

Sign into The Vow Exchange "Bookings" email using credentials provided by the location manager.

Step 2:

Search the name of the client to locate and open their email folder.

Step 3:

Locate a return receipt email titled "Your contract has been signed!". If email is missing, refer to below instructions for "Signed Contract Missing".

Step 4:

Log into Booker and select "Workflow" on the drop down under the "Manage Customers" tab.

Step 5:

Open the customer's Booker profile page and click the "Details" tab.

Step 6:

Under "EVENT MANAGEMENT" header, click the drop down next to "EVENT SET UP".

STEP 7:

Select "04-PUBLISH & SEND QUESTIONNAIRE" on drop down and click "SAVE" on bottom right of the window.


Return Email Receipt Missing

4 WEEKS PRE-EVENT

Step 1:

If the email return receipt is missing, open & sign into "Wedding Wire", locate customer profile under "Inquiries".

STEP 2:

Click "VIEW" under "Contract" space.

Step 3:

Click "Email Contract".

Step 4:

Click button "Use an Email Template" and select "SIGN CONTRACT POKE". 

Step 5:

Update signature and email body with correct information & send.

Step 6:

Complete steps 1-7 from above to confirm contract signature is received. 


RETURN EMAIL RECEIPT MISSING

3 WEEKS OR LESS PRE-EVENT

STEP 1:

If the email return receipt is missing, open & sign into "Booker", locate booking on the calendar view.

STEP 2:

Locate phone number and call customer to verify customer has received the online contract. Instruct customer that their contract, final payment & questionnaire are due in one week. Request them to check their spam folder and to search "The Vow Exchange" in their email search function.

Step 3:

Complete steps 1-7 from above to confirm contract signature is received.

The event is 2 weeks or less and you simply cannot connect with the client to secure the signed contract? Follow up with your market manager to trouble shoot the missing information.
