Module C8: 
2 WEEK CONFIRM FINAL PAYMENT

The big day is just 2 weeks away! Now is the time to ensure our customer has paid their event balance. Below are instructions for the following:

  • Confirming final payment received & collecting an unpaid balance
  • Updating the customer's event balance

note: Module C7: 2 week deactivate questionnaire must be completed before completing the following steps.

DEADLINE: 2 WEEKS PRIOR TO EVENT DATE

STEP 1:

Log into Wedding Wire & open the customer's client page in "Bookings".

STEP 2:

In the Invoice box, click the "View" button.

STEP 3:

Check for the "Paid" mark on the invoice and follow steps to update the customer's event balance

STEP 4:

In the event the "Paid" mark is missing, scroll to the top of the browser window and click "Email Invoice"

STEP 5:

Click "Use an Email Template" and select "FINAL PAYMENT PAST DUE".

STEP 6:

In the body of the email:
- edit all instances of the payment due date
- edit the location for the event

STEP 7:

Scroll to the bottom of the browser window, update the signature, ensure "Send me a Copy" is selected and click "Send Email".

STEP 8:

In 24 hours, repeat steps 1-3

DEADLINE: 2 WEEKS PRIOR TO EVENT DATE

STEP 1:

Log into Booker location view

STEP 2:

Open "Customers" tab, and enter customer's name in search field

STEP 3:

Under the "Summary" sub tab, click magnifying glass icon under the "Recent Orders" heading

STEP 4:

At the bottom of the invoice under the "PAYMENT" heading, click "Add Payment" on the far right.

STEP 5:

A group of tabs will appear. Click the "Cash/Equivalent" tab

STEP 6:

Select "Wedding Wire" from the drop down and click the "Add this Payment" button on the bottom right corner.

STEP 7:

A series of buttons to take payment and email receipt will appear. Select "Take Deposit & Email Invoice" & click send on the email pop up window.

STEP 8:

Ensure the order balance reflects $0.00

STEP 9:

Switch to Booker brand view, and select "Workflow" on the drop down under the "Manage Customers" tab.

STEP 10:

Open the customer's Booker profile page and click the "Details" tab.

STEP 11:

Under "EVENT MANAGEMENT" header, click the drop down next to "EVENT SET UP".

STEP 12:

Select "13-SAVE NOTES TO BULLETIN BOARD" on drop down and click "SAVE" on bottom right of the window.
