MODULE C9:
MANAGING "PACKAGE UNDECIDED" EVENTS

Couples may choose to reserve a date and time with out knowing which package they would like. However, to ensure we are able to properly prepare for their event, we will need to obtain and change their booking to their selected package. Follow the below steps to accurately assign their selected package:


YOU MUST COMPLETE MODULES C1 & C2 BEFORE PROCEEDING TO THE FOLLOWING STEPS.


CONFIRM "CHANGE MY EVENT" RECEIPT

DEADLINE: 60 DAYS BEFORE THE SCHEDULED EVENT

STEP 1:

Sign into The Vow Exchange "Bookings" email using credentials provided by the location manager.

STEP 2:

Search the name of the client for the booking.

STEP 3:

Locate the "Change My Event" Form email from the client and place into client folder.
(NOTE: If email is missing, refer to step 6 - 15  for "Sending a Package Undecided Poke".)

STEP 4:

Open, Client Management Matrix, search customer name.

STEP 5:

Enter today's date under the "Change My Event Received" column.


Sending a "Package Undecided Poke"

DEADLINE: 60 DAYS BEFORE THE SCHEDULED EVENT

STEP 6:

Open, log into Wedding Wire & open the customer's booking page.

Step 7:

Click "Create" in the "New Questionnaire" box.

Step 8:

Select the questionnaire "Change My Event Questionnaire".

Step 9: 

Click "Publish Questionnaire" button.

Step 10:

For the email prompt click button "Use an Email Template" and select "Package Undecided Poke". 

STEP 11:

Update the email body, from/signature on the email.

Step 12:

Send email.

STEP 13:

Open, Client Management Matrix, search customer name.

STEP 14:

Enter today's date under the "Package Undecided Poke" column.

STEP 15:

Repeat steps 1-5 from the top of this page until the "Change My Event" form is confirmed.


responding to a package change request via other method

DEADLINE: 48 HOURS AFTER THE REQUEST

STEP 1:

Open, log into Wedding Wire & open the customer's booking page.

STEP 2:

Click "Create" in the "New Questionnaire" box.

STEP 3:

Select the questionnaire "Change My Event Questionnaire".

STEP 4: 

Click "Publish Questionnaire" button.

STEP 5:

For the email prompt click button "Use an Email Template" and select "Package Undecided Poke". 

STEP 6:

Update the email body, from/signature on the email.

STEP 7:

Send email.

STEP 8:

Open, Client Management Matrix, search customer name.

STEP 9:

Enter today's date under the "Package Undecided Poke" column.

STEP 10:

Repeat steps 1-5 from the top of this page until the "Change My Event" form is confirmed.


updating the package on an existing booking

DEADLINE: 48 HOURS POST PACKAGE "CHANGE MY EVENT" FORM RECEIPT

STEP 1:

Log into TVX BOOKING email and locate the WW request notification.

step 2:

Log into Booker and locate the scheduled appointment on the calendar.

step 3:

Make requested change to Booker appointment, right click on the calendar entry, select edit, select the new package from the drop down menu.

step 4:

If applicable, schedule the necessary Service Providers in Booker.

STEP 5:

Open, log into Wedding Wire & open the customer's booking page.

STEP 6:

Click button "Use an Email Template" and select "Confirming Your Event at The Vow Exchange". 

STEP 7:

Update signature and email body with correct information & send.

Step 8:

For package changes refer to "MODULE C3: MANAGE EXPECTATIONS" to secure the customer's Event Expectations Agreement
