MODULE C10:
Managing a late/rush event detail requests

Couples may choose to change a detail for their event less than 7 days till their current scheduled event. To do so, the couple must pay a rush fee to request this change. To ensure these rush fee change requests are processed correctly please follow below:


YOU MUST COMPLETE MODULE C6 BEFORE PROCEEDING TO THE FOLLOWING STEPS.


RESPONDING TO A CUSTOMER LATE CHANGE REQUEST LESS THAN 7 DAYS TILL SCHEDULED EVENT

DEADLINE: 24 HOURS FROM VERBAL OR EMAILED REQUEST

STEP 1:

Open, log into Wedding Wire & open the customer's booking page.

STEP 2:

Scroll down to "Payment Schedule" & click button "Add Pay Schedule".

STEP 3:

Enter amount "$50" and set today's date for "due on".

Step 4:

Click "Create Invoice".

Step 5:

Under "Invoice Details", click "Edit" and enter the following information & click "Save":
Event details rush fee payment for the Wedding on 01/01/2016

STEP 6: 

Click "Publish Invoice" button.

STEP 7:

For the email prompt click button "Use an Email Template" and select "Event Details Rush Request".

STEP 8:

Update the signature on the email.

Step 7:

Send email.


RESPONDING TO A paid event details rush fee invoice

DEADLINE: 24 HOURS FROM RECEIPT OF PAYMENT

STEP 1:

Open, log into Wedding Wire & open the customer's booking page.

STEP 2:

Click "Create" in the "New Questionnaire" box.

STEP 3:

Select the questionnaire for the client's chosen package.

STEP 4: 

Click "Publish Questionnaire" button.

STEP 5:

For the email prompt click "Skip this Step".

STEP 6:

Click the "Client Site" button on the top right.

STEP 7:

Log into the client's page using their 8 digit wedding date (mmddyyyy).

STEP 8:

Click on the package questionnaire and click "Edit".

STEP 9:

Enter the information from client's downloaded questionnaire and click "Save".

STEP 10:

Return to the customer's booking page in Wedding Wire.

STEP 11:

Click on the Event Details Questionnaire and click "Email This Client".

STEP 12:

Click button "Use an Email Template" and select "Rush Request Republish ". 

STEP 13:

Update the signature on the email & click SEND. A copy will be sent to the TVX bookings email to be filed in the couple's folder.


FINALIZE EVENT DETAILS

DEADLINE: 24 HOURS POST EVENT DETAILS QUESTIONNAIRE REPUBLISHING

STEP 1:

Log in to the TVX Bookings email and locate the Questionnaire Notification.

STEP 2:

Open in Wedding Wire and review the submitted answers.

STEP 3:

Flag and address any answer that is confusing, unclear, or against policy directly with the couple.

STEP 4:

Flag any answers that would affect the scheduling of a service provider such as the couple declining our officiant or our flowers.

STEP 5:

If needed, direct the couple to update or clarify any answer directly on the Questionnaire.

NOTE: THE QUESTIONNAIRE RESPONSES WILL BE PASSED DIRECTLY TO THE SERVICE PROVIDERS. ANY INFORMATION NOT INDICATED ON THE QUESTIONNAIRE WILL BE MISSED BY THE SERVICES PROVIDERS.

STEP 6:

Click the "Client Site" button on top right of page.

STEP 7:

Log into the client's page using their 8 digit wedding date (mmddyyyy).

STEP 8:

Click on the package questionnaire to view and click "Download" on the top right corner.

STEP 9:

Save the package questionnaire to a designated folder titled: QUESTIONNAIRE-(MMDD)(BRIDE'S NAME)(GROOM'S NAME).

STEP 10:

Open the newly saved document to ensure it saved correctly.

STEP 11:

Return to the customer's booking page in Wedding Wire.

STEP 12:

In the Event Details Questionnaire box, click the "View" button.

STEP 13:

Click the arrow next to "Email Questionnaire", select "Discard this Questionnaire" from the drop down menu and click "YES" when prompted.


SEND FINAL CONFIRMATION EMAIL

DEADLINE: IMMEDIATELY FOLLOWING FINALIZE DETAILS

STEP 1:

Log in to the customer's booking page in Wedding Wire.

STEP 2:

Click "Email This Client" and select "RUSH CHANGE REQUEST CONFIRMATION".

STEP 3:

Update the signature if needed.

STEP 4:

At the very bottom of email click "Add a File" and upload the final downloaded questionnaire. 

STEP 5:

Click SEND. A copy will be sent to the TVX bookings email to be filed in the couple's folder.
